We are currently looking for a Director of Administration Excellent English and French for an International Law Firm located in 1050 Brussels.

Function

Key Responsibilities

- Ownership of the office’s daily operations, human resources management and administration
- Working closely with the Director of International Operations, the Chief Human Resources Officer and Executive Director as well as other Global Services Personnel to achieve Firm-wide objectives
- Human Resources:
- Responsible for the management of the Office’s Administrative Staff and Trainees
- Preparation of job descriptions
- Recruiting
- Conduct orientation programs for new employees and coordinate trainings where necessary
- Provide guidance and leadership to ensure efficient workflow, motivation and team spirit
- Administers performance evaluations
- Manage the registration and deregistration of employees for extra-legal benefits
Operations:
- Responsible for Office Space, SPOC for Landlord
- SPOC for all suppliers including contract and lease maintenance
- Monitors management of the facilities, reception, library, supplies, storage and office records
- Overall responsibility for reproduction/copy, mail, messenger and delivery services
- Liaison with the French and Dutch speaking orders of the Brussels Bar
Finance:
- Responsible for the preparation and management of the office budget including variance analysis
- Review of office expenses, petty cash and invoice processing
- Oversees financial reporting and general ledger accounting
- General knowledge of billing and client invoicing
- Preparation of staff payroll and liaise with the payroll processing vendor
- General knowledge of local tax compliance requirements

Profile

- You have minimum 5 years’ of relevant experience as a Manager of Administration in a professional services company and are looking for your next career step, i.e. to become a Director of Administration
- Hence a clear understanding of administration, facilities management, HR and purchasing
- Thorough grasp of Belgian Employment & Labour Law, Brussels Bar regulations and Tax matters
- Excellent English & French (written & spoken)
- Excellent interpersonal skills in order to maintain effective working relationships with diverse stakeholders
- Natural leader, pro quality
- Solution oriented and hands on
