Your role in IRU

Currently IRU is looking for an EA with outstanding organizational skills in order to fully support the IRU Director in Brussels and ensure an overall smooth running of the office.

Key Responsibilities

Assistance with Director’s assignments:

  • Responsible for all organisational aspects in connection with the Director’s assignments (agenda, meetings, participation at conferences, expenses) as well as coordinating preparation of such assignments; assuring deadlines are met
  • Managing the Director’s emails including by pro-actively filtering and replying to invitations and emails
  • Formatting and sending letters to high officials and/or IRU members on behalf of the Director
  • Approving requests of team members on behalf of the Director on the basis of delegated responsibility

Office Management:

  • You are fully responsible for the office supplies, equipment and maintenance ensuring that administrative and organisational procedures are adhered to
  • Contact with the HR Department at the headquarters in Geneva regarding office policies, recruitment and on-boarding

Support with the organisation of meetings and activities involving the office as a whole, including by setting up the technical conditions for effective online meetings


  • Minimum 3 years’ experience as an EA
  • Excellent English (written and spoken)
  • IT literacy: MS Office, Webex, Zoom and Teams
  • You are bright as well as being results and solution oriented
  • Analytical, plus a keen eye for detail and discretion are must haves
  • Highly organised with sound priority management
  • Outstanding professional interpersonal skills to effectively interface with internal and external stakeholders and to form strong working relationships
  • Confidence in your skillset enabling you to work independently and proactively
  • And last but certainly not least you are a service minded team player
